Trainee Recruitment and Selection

  • Each PI and managing department will probably handle the process of trainee recruitment and selection differently.  There is currently no universal training grant application process at UCSD.
  • The opportunity can be announced by web-based announcements and/or personal recommendations.
  • Generally, candidate recruitment occurs through a selection process by respective departments or programs using criteria such as GRE scores, grade transcripts, recommendation letters, publications, and personal interviews.
  • Trainee positions are competitive, an appointed committee is a common way to review applications. This committee can be comprised of mentors not involved with the trainee or the potential mentor

Predoc stipends are currently in transition from being processed through the financial support request tool (FSRT) and the student aid management (SAM) system to the FSPT system - financial support payments system (FSPT) tool.

FSRT - Stipends appear on the GL with a PID (Student ID #) and no name. In order to reconcile, you will need the PID number.  This can be obtained from the home dept or in the BAH from the graduate student funding report (access permitting).  

FSPT - Stipends will be on the GL as personal expenses because they will be processed through UC Path and will have the trainee name next to to expense.  FSPT Job setup

Funding dept. obtains approval from the student’s home dept.

Postdoc Appointments

    • Appointment Checklist
    • Determine the appropriate stipend level based on the CV - Postdoc Stipend Policy  and Postdoc Calculator.
      • The NIH postdoc stipend level for the entire first year of support is determined by the number of full years of relevant postdoctoral experience at the time of appointment. Relevant experience may include:
        • Research experience (including industrial)
        • Teaching assistantship
        • Internship
        • Residency
        • Clinical duties
        • Other time spent in a health-related field beyond that of the qualifying doctoral degree
      • For example, a postdoc who received their Ph.D. two months ago would be at the first level – 0 years of experience. A postdoc who received their Ph.D 15 months ago, would be at level 1.
    • Contact your UC Path preparer (e.g. HR or ARC) and make a request with the appropriate stipend level.

    • Calculate the additional compensation amount - this is a separate (dual) appointment.

      • Postdocs can receive additional compensation to their T32 stipend. Compensation may not be paid from a research grant that supports the same research that is part of the trainee’s planned training experience.

Additional Compensation

  • Both Pre and Postdocs can receive "additional compensation" to their T32 NIH stipend.
  • Predocs must be paid from a non-federal fund source (per EVC policy November 2023).
  • Postdoc compensation can be paid from a federal fund source but it may not be paid from a research grant that supports the same research that is part of the trainee’s planned training experience.  
**Often administrators use the same terminology for "supplementation" as "additional compensation" however, NIH policy makes a distinction between the two.  NIH Policy - 11.3.10 Stipend Supplementation, Compensation, and Other Income.

  • Appointment Checklist
  • Be sure that the stipend amounts for the UCSD and NIH appointment are correct.
  • Stipends cannot increase mid-year on a NRSA fund source.
  • Be sure to advise the trainee about tax implications when paid on a stipend.
