Training program information must be recorded, maintained and updated regularly. Keeping meticulous records of all training activities is essential.Four Key areas of trainee tracking:
- Applicants (for Data Table 6)
- Participating Faculty (Data Table 2)
- Current and Past Trainees (for Data Table 8)
- Program Activities (RPPR's & Renewals)
Examples of Trainee Tracking:
- Type of Trainee (i.e. Predoc or Postdoc)
- Start and End Dates in Program
- URG Status
- Citizenship
- Gender
- Prior Institutions
- Mentor
- Permanent Email Address
- Initial and Current Employment
- Degree Seeking
- Courses offered and enrollment
- Symposia held and attendance
- Attendance and presentations at professional meetings
- Publications
- Completed Program or Graduation Date
- Matriculation - Fulfilling certain academic requirements
- Any other milestones of the training program
Best Practices
- Template Trainee Tracking Spreadsheet
- These records are essential for creation of annual progress reports (RPPR's) and renewal applications.
- Tracking former participants after program completion can be challenging. Use social media, such as Facebook, LinkedIn, etc. to follow their progress.
- Create a special Linkedin or social media page dedicated to your program.
- Send out an annual Google survey (Contact Jill Vampola for form access).
